Understanding Module Revisions and Statuses: Effective, Preview, and Approved

1. Purpose

Idea
This article explains the module revision process in PeopleFluent Learning and clarifies the meaning of the Effective, Preview, and Approved statuses within that process.

2. Module Revisions

In PeopleFluent Learning, modules can be revised to update content, settings, or other aspects. This ensures that learners always have access to the most current and accurate learning materials. The revision process involves different statuses to control when and how changes are implemented.

3. Module Revision Statuses

When a module is revised, it goes through different statuses, each with a specific meaning:

  1. Preview: This status indicates that the module revision is still in progress or is available for review by administrators or designated personnel. The changes are not yet live for learners. This allows for testing and verification before the revision is fully implemented.
  2. Approved: This status signifies that the module revision has been reviewed and is deemed ready for use. However, it may not yet be the currently active version for learners, depending on system settings and administrator actions.
  3. Effective: This status denotes that the module revision is the currently active version and is available to learners. This is the version that learners will access when enrolling in or launching the module.

4. Differentiating Statuses

It's important to understand the differences between these statuses:

  1. Preview vs. Approved: A module in Preview is not necessarily ready for learner access, while an Approved module is considered ready but may not be the active version.
  2. Approved vs. Effective: A module can be Approved without being Effective. The Effective status makes the revised module the live version for learners.

5. Revision and Launch Preview

The "Launch Preview" functionality allows administrators to view and test a module revision before it is made Effective. This is a crucial step in the revision process to ensure that the changes are correct and that the module functions as expected.

6. Key Considerations

  1. The specific options and workflows for module revision might vary slightly depending on your PeopleFluent Learning configuration.
  2. Administrators control the transition of a module revision from Preview to Approved and finally to Effective.
