Merging User Accounts with User ID Migration
Introduction:
This article explains how administrators can merge user accounts using the User ID Migration feature within the User Manager. This method allows you to transfer a user's records from one account (the source) to another (the target).
Purpose:
User ID Migration is used to consolidate user records when:
- A user has multiple accounts due to the Multiple Assignments feature being enabled.
- A registered learner leaves and re-registers with a new user ID (e.g., due to a name change).
- You need to consolidate user data for any other administrative reason.
Process:

Access User ID Migration:
- Navigate to Manage Center > Users > User Manager > User ID Migration.

Select the Source User:
- Click the Source User ID field label.
- In the dialog box, select the user account from which you want to migrate records.
- Click OK to return to the User ID Migration page.

Select the Target User:
- Click the Target User ID field label.
- In the dialog box, select the user account to which you want to migrate records.
- Click OK to return to the User ID Migration page.

Optional: Migrate Ownership Records Only:
- If you only need to migrate ownership records, check the box labeled "migrate ownership records only."

Specify Source Account Action:
- Select the option that dictates what happens to the source user account and its records after the migration. You will likely have options like:
- Delete source user and all records.
- Remove records from source user, but keep the account.
- Keep all source user data.

Execute Migration:
- Click the Execute button to initiate the user ID migration process.

Example Use Cases:
- Multiple Assignments: If the Multiple Assignments feature is enabled, a user may have records in two separate assignment accounts. User ID Migration allows you to consolidate these records into a single user account.
- Re-Registration: If a learner leaves the organization and later re-registers with a different user ID (e.g., due to a name change or new email address), you can migrate their records from the old account to the new one, preserving their learning history.
Important Notes:
- Carefully select the source and target user accounts to avoid unintended data loss.
- Review the available options for source account action before executing the migration.
- If you need to merge large numbers of users, use the "Merge User Accounts via the Data Loader" feature instead.
- Ensure that you have the correct administrative permissions to perform user ID migrations.
- It is always best to perform a backup before any large user changes.
