Managing Courses with Multiple Resources/Instructors Across Different Dates

Managing Courses with Multiple Resources/Instructors Across Different Dates

Issue

How to manage courses that require multiple instructors and classrooms/resources across different dates within the same course duration.

Example Scenario:

Course: Sample_101
Course Duration: 01 Jan – 31 Mar 2026

Instructor Assignment:

Instructor A: 01 Jan – 15 Jan 2026
Instructor B: 16 Jan – 15 Mar 2026
Instructor C: 16 Mar – 31 Mar 2026

Classroom Assignment:

Classroom 1: 01 Jan – 15 Jan 2026
Classroom 2: 16 Jan – 15 Mar 2026
Classroom 3: 16 Mar – 31 Mar 2026

A common issue encountered in this setup is the need to double-book resources in order to capture the assigned instructors and classrooms, which may result in multiple resource conflicts.

Solution / Best Practice

A commonly used approach is:

1 Classroom
Multiple Class Schedules/Sessions
1 Resource per Schedule/Session

This setup is usually managed and uploaded using the CSV Loader.

Recommended Approach

Instead of creating:

1 session covering the entire course duration

Create:

Multiple smaller sessions/schedules based on the actual instructor/resource usage
Example

Instead of:

1 session from 01 Jan – 31 Mar 2026

Create:

Session 1: 01 Jan – 15 Jan 2026 → Instructor A / Classroom 1
Session 2: 16 Jan – 15 Mar 2026 → Instructor B / Classroom 2
Session 3: 16 Mar – 31 Mar 2026 → Instructor C / Classroom 3

This setup ensures that:

Resources are only allocated during the actual required dates
Resource conflicts are minimized
Scheduling becomes more flexible
Instructor/classroom assignments are more accurate
Additional Notes

Using the CSV Loader is recommended for this setup because:

Multiple schedules can be prepared in bulk
Exact dates/times/resources can be planned in advance
It is easier to manage large or recurring schedules

Although this approach requires additional setup effort initially, it provides better flexibility and resource management in the long run.
