Enabling User Roles to Use the User Group Data Loader

1. Purpose

This article explains how to grant user roles the necessary permissions to utilize the User Group Data Loader feature within PeopleFluent Learning. The User Group Data Loader enables administrators to efficiently import and manage user group data in bulk.

2. Background

User groups are a fundamental component of PeopleFluent Learning, allowing administrators to organize users based on various criteria such as department, location, or job title. These groups can be used for assigning training, managing permissions, and targeting communications.

The User Group Data Loader streamlines the process of creating and updating user group memberships by enabling the import of data from external files. This is particularly useful for large organizations or when making frequent changes to user group assignments.

3. Procedure

    To enable a user role to use the User Group Data Loader, follow these steps:

    1.  Go to the User menu.

    2.  Click on System Role.

    3.  Find the specific role you need to modify and click on its name to open it.

    4.  Within the role's details, locate the User Manage Features section.

    5.  Scroll down or search for User Group Data Loader and set its permission to.

4. Role Access Permissions

 

In PeopleFluent Learning, user roles define the level of access and the actions that users can perform within the system. These permissions are managed through Role Access Control, where administrators can configure various features and their corresponding access levels.

For each feature, including the User Group Data Loader, there are typically different types of access:

No Access: The feature is disabled and hidden for users assigned to this role.

Read-Only: Users can view the feature but cannot make any changes.

Unrestricted: Users have full access to the feature, including creating, modifying, and deleting data.

By setting the User Group Data Loader permission to "Unrestricted," you grant users with that role the ability to import and manage user group data using the data loader functionality.

5. User Group Data Loader Functionality

The User Group Data Loader allows administrators to import user group data, including:

1. Creating new user groups.
   
2. Adding users to existing user groups.
   
3. Removing users from user groups.
   

This functionality is especially helpful when dealing with a large number of users or when integrating user data from external systems.

1. Granting "Unrestricted" access to the User Group Data Loader should be done with caution, as it allows users to modify user group memberships, which can impact training assignments, permissions, and communications.
