Program Completion - Program Remains "In Process" Despite Submodules Being Completed


1. Issue

A program's status remains "In Process" even after a user has completed all the modules within it.

2. Scenario

  • A program is created, and a user enrolls in it.
  • The program consists of two modules:
    • Module 1 - Not Started
    • Module 2 - Completed (April 30, 2024)
  • Module 2 was completed on April 30, 2024.
  • The program status is "In Progress."
  • The module was revised on September 10, 2024.
  • The user opened the program and launched Module 1 (Not Started).
  • The user completed Module 1.
  • The program status remains "In Process."

3. Cause

The program configuration is set to "Program completion requires modules to be on Effective/Approved revision."


Notes
Even though all modules are marked as complete, the program does not register as complete if one or more module completions are not associated with the latest effective/approved revision. In this scenario, Module 2 was completed before the revision, causing the issue.

4. Resolution

To resolve this issue and ensure the program completion is correctly captured, revise the module:

  1. Initiate the module revision process within the LMS.
  2. In the "Confirm New Module Revision" dialog, select the following options:
    • "Enrolled learners who have yet to complete the course"
    • "Re-enroll learners who have completed an earlier revision as a stand-alone module"

3. Complete the revision process by publishing the updated module.

4.  After the revision is published, the module will appear at the bottom of the Knowledge Center. The user clicks the "Enroll" button.

The module will then appear in the program with a status of "Not Started."


5. The user launches and completes the module again.

Verify Program Completion: After the user completes the revised module, the program status will be marked as "Completed."

  • This resolution applies specifically to program configurations where "Program completion requires modules to be on Effective/Approved revision" is enabled.
  • Ensure users understand that they may need to re-enroll and complete modules if revisions occur after their initial completion.
